Before you publish: this is a working draft covering the basics of a brochure site with a contact form. Replace every bracketed detail and have it checked against how you actually handle data. Given that you advise clients on exactly this, it is worth getting right on your own site first. Not legal advice.
Who we are
JAYC Consultancy (“we”, “us”) is the data controller for the personal data described here. You can reach us at hello@jayc-consultancy.info or by post at Sovereign House, 12-14 Warwick Street, Coventry, England, CV5 6ET.
What we collect
- Enquiry details you type into the contact form: name, email address, company, website, paid media spend band and the content of your message.
- Booking details if you schedule a call, handled by Google Calendar appointment scheduling. The calendar loads from Google only when you choose to open it, and Google may set its own cookies once it does.
- Basic technical data collected by our hosting provider [Netlify / Cloudflare] in server logs, such as IP address and browser type, used for security and to keep the site running.
- Analytics data — [if and when you add GA4 to this site, describe it here: what you collect, whether it is consent-gated, retention period, and whether data is shared with Google. This section must not stay as a placeholder once tracking is live.]
As published, this site sets no advertising or analytics cookies and runs no third-party trackers. The only external request is to Google Fonts for typography. [If you add a consent management platform, describe it here.]
Client data we handle during engagements
When working on your analytics we are typically a data processor acting on your instructions, not a controller. That relationship is governed by the contract and data processing terms we sign with you, not by this notice. [Confirm this wording against your actual client contracts and DPA.]
Why we use it, and our lawful basis
- To reply to your enquiry and discuss possible work — legitimate interests, and your consent where you ticked the box on the form.
- To deliver work you have engaged us for — performance of a contract.
- To meet accounting and tax obligations — legal obligation.
- To keep the website secure — legitimate interests.
Who else sees it
We use a small number of service providers who process data on our behalf: our website host [Netlify], form handler [Netlify Forms], email provider [Google Workspace / Microsoft 365] and scheduling tool [Google Calendar appointment scheduling]. We do not sell your data or share it for marketing.
How long we keep it
Enquiries that do not lead to work are deleted within [12] months. Records relating to client engagements are kept for [7] years to meet accounting and professional requirements.
Your rights
Under UK GDPR you can ask us for a copy of your data, ask us to correct or delete it, object to processing based on legitimate interests, or withdraw consent. Email hello@jayc-consultancy.info and we will respond within one month.
If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk.
Changes
If we change this notice we will update the date at the top of the page.
